We are looking for a proactive Administrative Assistant to perform a variety of administrative and clerical tasks. Duties include providing support to our managers and associated companies, assisting in daily office needs and managing the HUB55’s general administrative activities.

Responsibilities: Answer and direct phone calls; Organize and schedule appointments; Write and distribute email, correspondence memos, letters, faxes and forms; Book travel arrangements; Submit and reconcile expense reports; Provide general support and welcome visitors, guests, customers; Act as the point of contact for internal and external clients; Manage contracts with clients, partners, suppliers; Office management, keeping it clean and well supplied; Execute calendar of events and activities; Support clients in the initiatives related to: construction of business plan, market research, coaching and training, physical space search, and recruitment of local professionals.

Requirements: Fluency in Portuguese and English; Proven experience as an Administrative assistant or Office admin assistant; Working knowledge of office equipment and proficiency in MS Office; Excellent time management skills and the ability to prioritize work; Attention to detail and problem solving skills; Excellent written and verbal communication skills; Strong organizational skills with the ability to multi-task.
